Privacy Policy

01Who we are

This Privacy Policy explains how Misaki Media (“we”, “us”) handles personal data collected through the website misakimedia.com (the “Site”). We are the controller of that data.

This policy covers the Site only. Any AI system we build for a specific client is a separate project with its own privacy documentation.

02What we collect

2.1Information you give us through the AI opportunity scan (/scan)

  • Your name
  • Your email address
  • Your company website URL, or a social profile link if you don’t have a website
  • Your answers to a short questionnaire about your business and workflows

Your name, email address and website (or profile link) are needed to prepare your report. You are not obliged to provide them, but without them we cannot run the scan.

2.2Information we read from your company’s public website

If you provide a company website URL, our scan tool reads the publicly available content of that site to help prepare your AI opportunity report. That content may itself contain personal data (for example, staff names on a team page). We use it only to prepare your report.

2.3If you email us

If you contact us by email, we use what you send us to reply and keep a record of the conversation.

2.4Technical data

Our hosting provider processes basic technical data, such as IP addresses, to deliver the Site and keep it secure. We do not use analytics or tracking tools on the Site.

03Why we process your data and our legal basis

  • To prepare your AI opportunity report and send it to you — legal basis: your consent, given when you submit the scan form. You can withdraw it at any time.
  • To follow up on your report and hold the 30-minute call if you book one — legal basis: steps taken at your request before a possible contract.
  • To reply to your emails and keep internal records of leads and inquiries — legal basis: our legitimate interest in responding to inquiries and running our business development.
  • To keep the Site running securely — legal basis: our legitimate interest in operating a secure website.

We do not use your data for any other purpose. We do not send newsletters or unrelated marketing, and we never sell your data.

04How your report is generated

Your questionnaire answers and the public content read from your company website are processed by an AI model to draft your opportunity report. A member of our team reviews every report before it is sent to you — nothing is sent automatically. We do not make decisions about you with legal or similarly significant effects based solely on automated processing.

05Who else processes your data

We use a small number of trusted service providers to run the Site and deliver your report: website hosting, database storage, an AI provider (Anthropic) to help generate report content, and an email delivery provider. We have agreements in place with each of them governing how they may use your data, and we do not share your data for any other party’s marketing purposes. If you choose to book a call, you will be taken to a third-party scheduling service on its own website. We do not embed this tool on our Site. The scheduling service shares your booking details (such as your name, email address and chosen time) with us so we can hold the call. The scheduling provider’s own privacy policy also applies to the information you enter there.

Logos of other platforms shown elsewhere on the Site illustrate systems we can build integrations with for clients. They do not indicate that data submitted through this Site is sent to those platforms.

06International data transfers

Some of our service providers are based in, or process data in, countries outside the European Union / European Economic Area, including the United States. This includes our AI provider. Where personal data is transferred outside the EU/EEA, it is protected by safeguards recognised under the GDPR, such as the Standard Contractual Clauses approved by the European Commission or the EU–U.S. Data Privacy Framework. Our AI provider does not use data received through its API to train its models by default.

07How long we keep your data

  • If you do not become a client, we delete your scan submission, your report and related correspondence 12 months after you submit the scan.
  • If you become a client, your data moves to our client records and is kept for as long as our agreement and legal obligations require — for example, Dutch tax law requires us to keep financial records for seven years.
  • You can ask us to delete your data sooner at any time (see Section 8).

08Your rights

Under the GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Restrict or object to our processing of your data
  • Receive your data in a portable format
  • Withdraw consent at any time, without affecting processing carried out before withdrawal

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe we have processed your data unlawfully.

09Changes to this policy

We may update this policy as our Site, tools or service providers change. We will update the “Last updated” date at the top of this page when we do.
